Student Organization Program Proposal
Is your student organization interested in being a part of Welcome Week 2008? Here is how you can get involved in assisting the Class of 2012 in their transition to the University of Minnesota:
- Participate in the Student Organization Fair (Saturday, August 30): This is a new organization fair available to over 5,000 first-year students before classes start. You can register for this fair beginning May 1, 2008 when you register for SUA's Fall Activities Fairs that take place in September. This fair will have limited capacity, so be sure to register early!
- Coordinate an On-Campus Service Project (Sunday, August 31): Help get new students involved in the community. To submit a program proposal for an on-campus service project, please complete the form below. Be sure to read the guidelines outlined for participation prior to completing your submission.
- Plan an Event (Monday, September 1-Labor Day): Showcase your organization by planning an event on campus (for example, an open house or bbq) to welcome new students to campus.
Welcome Week Participation Policy (adapted from SUA):
- Welcome Week activities are University campus-wide programs for the University community to display University pride and spirit. These opportunities are open to Registered Student Groups and University Departments to publicize their student group and/or University department as described above.
- All participants of Welcome Week activities are governed by the Student Conduct Code and the Student Unions & Activities Student Group Policy Handbook for Registered Student Groups and the guideline(s) for an On-Campus Service Project and Events planned for Monday of Welcome Week (see specific guidelines below):

- Any organization(s) in violation of this policy may be banned from participating in this event for the academic year in which the offense was committed.
- Student group(s) using of any University and/or University Department(s) logo(s) must have prior written approval. For further information regarding the use of University and/or University Department(s) logo(s), please refer to the SUA Student Group Policy Handbook.
- Any complaint(s) pertaining to On-Campus Service Projects or planned Events must be submitted in writing to Student Unions & Activities (see SUA Student Organization Policy Handbook).
- Students Unions & Activities has a right to review and/or sanction any participant(s) and/or organization(s) who violates these policies.
- Upon notification of violation(s) and/or sanction(s), participant(s) and/or organization(s) has 5 days to appeal any or all decision(s) made by Student Unions & Activities.
- All appeal(s) must be submitted in writing to Student Unions & Activities
On-Campus Service Project & Event Guidelines:
- Fully staff project and/or event with representatives from your organization. This means there will not be a Welcome Week representative available to assist with your event. Also, students who are Welcome Week Leaders need to fulfill Welcome Week duties and will not be available to staff additional events.
- Provide a positive experience for students. Share your organization and your experience, however, remember there are many ways to be involved on-campus and what worked for you may not work for all other students. All events should complement the Welcome Week mission (link to mission).
- All costs needed to implement the program need to be covered by the student organization.
- Provide liability insurance when appropriate. An OFYP staff member will follow up with you if it is determined that insurance will be needed for your event.
- All student organizations hosting events during Welcome Week must be in good standing with Student Unions and Activities.
- Orientation & First-Year Programs will make final decisions based on above criteria to include student organizations events in Welcome Week and Welcome Week publications.
